Free loyalty program for a gym: what the free plan covers

An independent gym looks at February and sees what it already knew: a share of January's joiners has stopped coming in, and the direct debit is still running. The practical question is what can be put in place this week, with no budget and no installation, to notice that earlier. A free loyalty plan is often the honest answer, as long as it is clear what a free plan is for.

What the free plan carries

The free plan is 0 euros and takes no card details. It issues a real Apple Wallet and Google Wallet pass, carries 20 enrolled members at one location, includes the browser-based QR scanner and all four interface languages, and includes one broadcast a month. What twenty members is actually enough to test

Twenty members will not retain a gym. It is enough to answer four questions that decide whether any loyalty program is worth paying for, and answering them costs nothing.

  1. Does the front desk say the sentence? Every program that fails, fails here first. One line at check-in, a QR code on the desk, and a week of watching whether it is said when the desk is busy.
  2. Do members add the pass on both phones? They must, or half the room is excluded. Across the 255 Fideliya cards measured on 4 September 2026, 131 were Apple Wallet and 124 Google Wallet, an almost even split.
  3. Does scanning fit the door? A gym check-in is fast and repeated. If the scan does not fit that flow at 18:30, no cap increase will fix it.
  4. Does the card get used at all? Of the 186 holders in that sample who were ever scanned, 165 were scanned within an hour of joining. If your twenty add the card and never present it again, the reward ladder is wrong before the plan is.

That sample is 255 cards and one restaurant account is 84 percent of it, so read those two figures as the shape of a small sample rather than as a fitness benchmark. What matters is that they are measurements from live cards rather than category folklore.

Where twenty members stops, plainly

A gym with more than 20 members on the card needs Pro. There is no version of this where the free plan runs a real membership program, and it is better said here than discovered in month two.

The stop is not abrupt. At 20 the cap is reached, enrolment continues quietly for six more, and the owner is notified at the crossing and again partway through that buffer. At 26 it hard stops and new members cannot be enrolled. A gym signing up members at the desk will reach that inside a few weeks.

The seat limit usually bites before the member limit does. The free plan carries no team seats, so only the owner's login can open the scanner. A gym where the front desk is staffed in shifts either shares one login, which is not a scanner strategy, or moves to Pro and its four seats.

The free plans that are larger than ours

If the only thing that matters is how many members a free plan holds, Fideliya is not the answer. Checked at each vendor's own pricing page on 11 August 2026: BonusQR offers a free plan with unlimited customers, and so does FaveCard, whose wallet pass is a paid feature and is free until the first 30 customers. Loopy Loyalty has no free plan at all, only a 15-day trial, and costs 25 USD a month.

So the case for Fideliya on the free plan is not the size of the cap. It is that the free card is the real card: the same Apple Wallet and Google Wallet pass a paid plan issues, the same scanner, the same four languages including right-to-left Arabic, and stamps or points rather than stamps only. When to move, and what changes

Three signals, in the order they usually arrive. The member cap, which is arithmetic rather than judgement. The front desk needing its own logins, which arrives sooner than most owners expect. And the point where the quiet list is long enough to be worth working, at which point one broadcast a month stops being enough and the three on Pro start to matter.

It carries 1,000 members, four locations, four team seats, gift cards, the referral program, a CSV export of the member list and three broadcasts a month. New accounts get 14 days of Pro features at signup with no card required, and the free plan's caps apply during those fourteen days, so the trial shows the features rather than the volume. Moving between plans is a plan change: the pass design stays, and the cards already in members' wallets keep working.
