It is Tuesday afternoon and the shop is empty. You open the dashboard, and instead of a wall of charts you get two short lists of names: seven people two stamps from a free coffee, and nine who have not been in for over a week. That is an afternoon’s work, and it is the whole point.
A loyalty dashboard exists to answer one question. Is the card changing what people do? A page of charts that cannot answer it is decoration. Everything below is a number you can act on the same day, named as the dashboard names it, with what it counts.
The headline numbers
The analytics page opens with four figures for the window you chose, each shown against the previous window of the same length. Total scans is every scan staff recorded. Customers is how many distinct people were scanned. Returning this period is how many of them were scanned more than once in the window, which is the closest thing a loyalty card has to a pulse. Rewards redeemed is how many customers reached the goal and claimed.
| Metric, as the dashboard names it | What it counts |
|---|---|
| Total Scans | Every scan recorded in the window |
| Customers | Distinct customers scanned in the window |
| Returning this period | Customers scanned more than once in the window |
| Rewards redeemed | Rewards claimed at the counter in the window |
| Loyalty Funnel | Joined, then first scan, then reward earned |
| Closest to reward | Customers within a few stamps or points of the goal |
| Not in for 8+ days | Customers whose last visit is eight or more days ago |
The funnel that tells you if the card is too long
Fideliya’s loyalty funnel has three steps: customers who joined, customers who were scanned at least once, and customers who earned a reward. The gap between the first two is a join that never turned into a visit. The gap between the last two is the card’s length. A ten-stamp card at a place people visit twice a month takes five months to pay out, and the funnel shows that as a wide gap between first scan and reward. A business that sees it can shorten the card, and watch the gap close in the next window.
Who to act on today
Two lists on the page name customers rather than count them. Closest to reward lists the people a stamp or two from the goal, grouped by pass, with the number remaining. A word at the counter, or a broadcast, brings them in for the last one. Not in for 8+ days lists the regulars who have gone quiet, with how long it has been, and a button to send them a message. Fideliya keeps the two lists short and current so that acting on them takes a minute, not a report.
When the shop is busy
Scan Trend draws scans over the window, day by day, and Peak Times and the Weekly rhythm grid show which hours of which days carry the visits. Top Performing Passes ranks a business’s cards by scans, and Recent activity lists the latest scans, joins, rewards, gift cards and referrals as they happen. On Pro, scans are also split by location and by pass, so a business with two counters sees each one on its own line.
How Fideliya counts a visit
Every scan is recorded and every scan adds its stamp; the counter never refuses one for coming too soon. When the dashboard counts visits rather than scans, it applies a one-hour window at the moment it reads the data: two scans within an hour of each other are one visit. A customer who buys three coffees for the office is three stamps closer to the reward and one visit on the chart, which is what both the customer and the owner would say happened.
What each plan reads
The Free plan reads the last seven days: every headline number, the funnel, both lists and the rhythm grid, over one week. The Pro plan at 49.99 euros a month reads seven, thirty or ninety days, adds scans by location and by pass, a CSV export of your customer list, and observations about your regulars written by Fideliya AI from the same data. Enterprise reads everything Pro reads.
What none of it tells you is why. A funnel shows you where people stopped, not what stopped them; the customer who drifted at nine days may have moved house or may have had one bad coffee, and no dashboard can tell those apart. What these numbers do is put the right eleven names in front of you. The asking is still yours.
| Plan | Window | Adds |
|---|---|---|
| Free | Last 7 days | Headline numbers, funnel, both lists, rhythm |
| Pro | 7, 30 or 90 days | Scans by location and by pass, CSV export, Fideliya AI observations |
| Enterprise | 7, 30 or 90 days | Everything in Pro |
